Where quoting leaks time and deals

Quoting is where margin and speed often leak for specialty wholesale teams. Not because people are slow. Because ownership, specials, follow-up, and handoff into the order do not sit on one clear path.

If that is what feels hardest, you do not need a full suite on day one. You need a plain read on the workflow, then a focused build on the loudest gap.

Wholesale quoting scorecard

Score your quoting workflow in about two minutes. For each line, mark Yes (2) / Sometimes (1) / No (0).

  1. When a buyer asks for a special or custom price, one clear person owns the next step.
  2. Account rules and exceptions are written down somewhere the whole quoting team can find.
  3. The same order details are entered once, not retyped into another place before the quote goes out.
  4. A quote that sits unanswered gets a follow-up without someone having to remember it.
  5. Buyers can see status on an open quote without calling or emailing to ask.
  6. Who can approve a discount or special is clear before the quote is sent.
  7. When pricing changes, old quotes do not silently use the wrong numbers.
  8. Hand-offs between sales, ops, and whoever books the order do not lose the quote thread.
  9. Hard-to-find or special-order items have a defined path, not a one-off scramble every time.
  10. You can see which quotes are open, won, and lost without asking three different people.

  • 0-7: Quoting is likely where time and deals leak. A focused build on that workflow is a good first wedge.
  • 8-14: Some parts work. The stalls are usually in handoffs, specials, or follow-up. Name the loudest gap.
  • 15-20: Quoting may not be the hardest problem. Still useful as a baseline. Tell us what feels harder day to day.

A high score means quotes move with clear ownership and little rework. A low score means the stall is in the workflow, not in trying harder.
